Photo booths are one of the highest-satisfaction contents at any event. The catch: billing structures vary so much between vendors that two 'one-day rentals' can produce very different final invoices. Here are 7 checks we've distilled from running booths on-site and comparing quote structures across the market.

1. Billing unit — hourly or daily?

90-minute, 2-hour, and 4-hour packages are common in this industry. The trap with hourly billing is overtime: if your program runs late or a queue forms before closing, extension fees kick in. For an all-day event, confirm daily billing up front. Convert hourly quotes to a full-day (8-hour) basis and the price ranking often flips.

2. Print-count limits

Some products cap prints at formulas like 'rental hours × 100 prints.' With hundreds of attendees, you hit the cap fast and overage fees apply. Confirm whether printing is unlimited, and if capped, where the cap sits and what overage costs. Even 'unlimited' can be misleading if consumables are billed separately.

3. Are consumables included?

Paper and ink are where real costs accrue. Check whether they're included, billed by usage, and whether the rate basis is published. For reference, print consumables ship as 'media kits' of roughly 1,400 prints each — a typical one-day event fits comfortably within a single kit.

4. Staffed vs self-service

Staffed packages carry labor costs in the price. Modern booth hardware is built for attendees to operate themselves, so a self-service booth can save that cost — but confirm who handles installation, setup, and training, and whether there's a support channel if something breaks.

5. Booth type and floor space

Enclosed box booths (with backdrop walls) look impressive but demand floor space and heavier transport. Open kiosk-style booths fit tight spaces and cost less. Decide how much floor space you actually have and whether you truly need a backdrop before collecting quotes.

6. Custom frame design

Custom print frames with your event's logo and date are included by some vendors and billed by others. Check how many designs are included and whether revision rounds are limited. Since frames are printed matter, lock the design schedule early — last-minute changes are hard.

7. The final number — VAT and shipping

Read the bottom of the quote. If VAT is excluded, 10% lands at payment time. Shipping and travel fees vary widely by region when billed separately. To compare vendors fairly, normalize every quote to the same basis: VAT included + shipping included + same operating hours + same print terms.
