Running your first event — an 8-week-out checklist

Event prep breaks into three phases: lock purpose, budget, and venue at 8 weeks out; place vendor orders and draft production items at 5 weeks; finalize the attendee list and rehearse from 2 weeks. 8–6 weeks out — the big picture

  • Lock down the event's purpose, expected attendance, and budget range
  • Book the venue (during peak season, even this point can be cutting it close)
  • Rough out which services you'll need — registration system, badges, kiosks, MC, etc.

5–3 weeks out — getting ready to execute

  • Request and compare vendor quotes — this is when you need to place orders to leave enough production lead time
  • Start collecting content — slides, speaker info — and expect it to keep changing
  • Lock in drafts for badges, table signs, and other printed materials

Don't expect everything to be finalized here. At Ajou University's medical education outcome-sharing session, presentation slides kept changing right up to three weeks out, and two presentations arrived just before the event started. Last-minute changes are the default, not the exception.

2 weeks out – event day — closing it out

  • Finalize the attendee list, seating, and traffic flow
  • Confirm delivery of printed materials — badges, table signs, banners
  • On-site rehearsal — sound, flow, registration desk placement
  • Event day — staff placement, registration desk opens, handle whatever comes up in real time
