Participant and room allocation moved from email and spreadsheets into one system.
Fewer repetitive checks and handoffs allowed a smaller core team to run the event.
The organizer and hotel team accessed the same up-to-date allocation data through separate accounts.
An event website that became an operations tool
Applications previously arrived by email, staff organized the list in spreadsheets, and senior faculty manually coordinated room assignments. Every change required another file handoff, stretching preparation to roughly three weeks.
Zzzarit connected registration, participant and room allocation, and operations status in one system. Separate hotel accounts gave every stakeholder access to the latest data without repeated calls or spreadsheet versions.
February 4–5, 2026, Incheon. Physician-scientists from Yonsei University gathered at Grand Hyatt Incheon for two days — people who see patients in the clinic while running research in the lab. This was their annual workshop. zzzarit handled the event operations and badge production.
The Yonsei Physician-Scientist Program
Yonsei University's Physician-Scientist Training Program has selected 38 participants from 2010 to 2025. It develops talent that combines clinical and research expertise. Every year, the cohort gathers to present research outcomes and connect — that's this workshop.

Presentations and Discussion
Day one opened with noon registration and an open networking lunch, followed by opening remarks, a program status report, a keynote lecture, lightning talks, and mentoring sessions. Day two started with a breakfast meeting — a full overnight program. Presenters spoke from the Grand Hyatt Incheon podium while attendees sat at round tables for in-depth discussion after each session.

Roundtables and Networking
After presentations, small-group roundtable discussions took place at each table. Physician-scientists from different subspecialties sat together to discuss research directions — and that was no accident. zzzarit designed the seating plan for all eleven round tables so that labmates and existing acquaintances were spread apart. During buffet networking, participants connected freely between sessions.
