Rental documents

Advance submission

Submitting a rental application does not equal approval; required documents such as the event brief and insurance must be filed at least 10 days ahead.

  • The guide asks for business registration, an event brief, and fire-safety documents as needed.
  • Review takes roughly one month.

Large vehicles & loading

Pre-registration required

Only pre-registered vehicles may enter the loading dock, and loading/unloading is expected to take around 30 minutes.

  • Materials must move into the venue immediately after unloading and may not remain in the loading dock.
  • The loading-dock height limit is 3.7m and the fire-shutter height is 3.5m.

Power & cabling

Designated contractor recommended

DDP recommends designated companies for electrical wiring and requires prior consultation for wall outlets.

  • Electrical wiring is recommended through DDP-designated companies with the proper license.
  • Wall outlets require prior consultation and must not exceed 3kW.

Signage & banners

External banners restricted

DDP information signs and media may not be hidden, and external banners are not allowed.

  • Advertising media requires advance consultation and may incur additional fees.
  • Placement must not cover entrances or emergency wayfinding.

Food & catering

Protective measures required

When catering is provided, protective materials are required, and meals are not allowed indoors or in the loading dock.

  • If catering is provided in the conference or preparation room, floor and fixture protection is required.
  • Eating is prohibited indoors, including the operation support office, and in the loading dock.

Waste & cleaning

Designated company recommended

After the event, DDP recommends using designated waste contractors, and the renter is responsible for garbage and cleaning.

  • Waste should be disposed of immediately, with temporary storage only by prior arrangement for long events.
  • Even recyclables are recommended to be handled through a DDP-designated company.

Heavy objects & special transport

Advance consultation

Vehicles or objects of 4 tons or more cannot be brought in arbitrarily, and a structural calculation sheet may be required.

  • Heavy equipment or structures require advance consultation before delivery.
  • If weight limits are exceeded, protective measures and additional documents may be requested.
